Choose the coverage model before counting hours
A fixed post
A community gate, hospital entrance or business reception point may require continuous attention. Document the hours that the post must remain occupied, how breaks are covered and who can approve entry when the usual contact is unavailable. A round elsewhere on the property must not silently remove that coverage.
A marked vehicle patrol
A patrol assignment visits agreed areas according to its service scope. It can address exterior observations, parking areas and perimeter checks, but it is not the same as a guard continuously stationed at an entrance. Define visits, checkpoints, reporting and escalation expectations in the proposal.
Where a property needs both, ask for each responsibility to appear separately. That makes it easier to compare proposals and see whether the gate stays staffed while the perimeter is checked.
Gated communities: resolve the exception at the guardhouse
For an HOA in Sherman Oaks or Encino, list the routine arrival types: residents, invited guests, contractors and deliveries. Each needs an authorization path. A guest whose host cannot be reached should not force the guard to invent a rule at the gate.
Include pedestrian gates and amenity hours as well as the vehicle entrance. Identify the association representative who can resolve a dispute, and agree how the officer documents the event without placing unnecessary resident information in a general report. Review our apartment and HOA security services when preparing those instructions.
Map the Valley route honestly
Ventura Boulevard and the US-101 corridor connect the Sherman Oaks and Encino parts of this service area. Example inquiry ZIPs include Sherman Oaks 91403 and Encino 91316. Burbank adds a separate operating context around its commercial districts and Media District; Downtown Burbank includes 91502.
For a portfolio, provide an address and schedule for each property. Travel between sites, access through gates and time spent checking each area all affect the route. Review planned visits and escalation expectations for each address before finalizing coverage.
A practical route review
Count the checks inside the gate
Distance between properties is only part of a patrol route. Opening a vehicle gate, reaching a rear service area and checking an upper parking level all take time. Explain where the officer can drive, where a foot check is needed and how access is restored after each visit.
For a shopping plaza, include the last business to close and the first contractor to arrive. For an HOA, identify any common-area access that changes overnight. A route proposal becomes more useful when it specifies these tasks alongside visit windows, instead of treating every stop as an identical pass through a parking lot.
Commercial parks and healthcare facilities
For a business park, mark which tenant entrances stay open late and which lots are shared. A Burbank facility receiving crews or vendors after hours needs an identified approver and waiting location. Broader contract options are explained in our commercial guard coverage guide.
At a hospital or medical facility, the site’s access and emergency procedures govern the assignment. Define public and staff-only areas, visitor escalation and the handoff to facility personnel. Keep patient information out of routine photographs and general patrol notes.
Turn a patrol visit into a usable record
Guardian Eagle uses TrackTik geofencing and photo reports. For Valley properties, agree the site boundary, named checkpoints and conditions worth documenting, such as a gate left open or a damaged pedestrian door. Reports should show what was observed and who was notified, while unresolved items carry forward to the next visit or shift.
Can a mobile patrol replace our gate officer?
Only if the property’s actual requirement is periodic checks. If every arrival needs live authorization, an intermittent visit does not provide the same service. Discuss that distinction before changing your coverage.
How should we request a multi-site proposal?
List each location, required hours, fixed posts and desired patrol areas. Identify shared management contacts while keeping location-specific access details separate. The team can then review staffing and the proposed route.
Build the Valley schedule around the work
For each address, list the entrance that cannot be left unattended, the areas to patrol and the hours you need covered. That detail lets us discuss a staffed post, a vehicle route or a combination that fits your property.
