Public arrival
Provide directions, reception hours and a contact for people who arrive after the desk closes. Identify the accessible route and where visitors can wait while their host is contacted.
Pasadena & Glendale · Campuses and public-facing facilities
A visitor may need directions, a host’s approval or access to a specific department. Help your officers make that distinction at Pasadena and Glendale medical buildings, corporate campuses and shopping properties.

Guard coverage 24/7 by arrangement

Begin with the spaces where people can arrive without an appointment: a lobby, courtyard or reception area. Next, mark the point where a host, tenant or department must approve entry. Finally, identify the service route for contractors and deliveries. These boundaries help an officer direct someone correctly without treating every unfamiliar person as an unauthorized visitor.
Provide directions, reception hours and a contact for people who arrive after the desk closes. Identify the accessible route and where visitors can wait while their host is contacted.
Document badge or appointment checks and the departments authorized to admit a guest. Define a clear escalation path when an expected host cannot be reached.
Keep receiving and maintenance arrivals distinct from patient, student or office visitor traffic. Include contractor work hours and the person responsible for releasing a service door.
Pasadena’s Old Pasadena, Playhouse Village and South Lake districts combine different commercial uses. A property near a shopping street may need public-facing access during the day and a quieter tenant entrance after closing. Pasadena 91101 is one example inquiry area; the exact building and hours determine the proposed assignment.
In Glendale, Brand Boulevard includes office and shopping activity, with parts of North Brand in 91203. For a campus or portfolio connected by the SR-134 corridor, list the buildings separately. The scope should account for their entrances and operating hours rather than assume that a common management team makes them one security post.
Department ownership
The tenant host confirms the visit and permitted destination.
The authorized maintenance contact confirms the work window and service entrance.
The designated facility team handles visiting and clinical questions under its procedures.
For a campus, attach the right contact to the building and activity. A general switchboard number may be insufficient when several departments have different evening schedules. Include the fallback contact in the handover so the next officer does not have to reconstruct the chain of responsibility.
For a medical center, guards need facility-approved instructions about entrances, visiting arrangements and escalation. Clinical questions belong with clinical staff. Decide what information is necessary for an access decision and keep diagnoses, treatment details and patient paperwork out of ordinary security reports.
Institutional campuses need the same clarity about responsibility. Identify the facilities contact, department approver and after-hours manager. When a building hosts an evening program, update its access window so the security team is not working from a daytime-only schedule.
Guardian Eagle’s TrackTik geofencing and photo documentation can support agreed checkpoints at campus buildings, parking entrances and service doors. Give every location a consistent name. A report marked only “rear entrance” is difficult to use when several departments have one.
At handover, distinguish a completed check, an exception already resolved and an item still awaiting facilities staff. Agree which issues require a call and how the next shift receives the remaining work. Photo instructions should focus on conditions and avoid sensitive people or documents.
Discuss the full site, but define each use separately. Our commercial guard service covers business requirements, while apartment and HOA coverage addresses resident, guest and common-area procedures.
Provide the location, building uses, public hours, after-hours activities and required start date. For several buildings, note which entrances must be continuously staffed and which can be included in rounds. Availability and scope are confirmed for each assignment.
Share the buildings involved, reception hours and the departments that authorize visitors or contractors. We can discuss how the guard assignment connects with your staff, facilities contacts and after-hours procedures.
